Instructions for Oral and Poster Presentations

Oral presentations

Submissions accepted for an oral contribution will be presented during one of the conference contribution sessions. 

Each presentation will have an allocated time of 15 minutes for contributed and 25 minutes for invited talks. We recommend spending 12 minutes (20 minutes) presenting, and 3 minutes (5 minutes) for questions and/or discussion at the end of each contributed (invited) talk.

Presentations must be prepared in Office PowerPoint (pptx) format with videos included directly into the presentation (do not use links to external files/web movies), and slides must be in 16:9 format. Alternatively, PDF format is also accepted if the presentation does not contain movies.

Speakers are not allowed to use their own laptop for the presentation, but a conference PC will be available. For this reason, presentations must be uploaded to INDICO or directly to the conference PC at least one day prior to the presentation day. 

To upload the presentation to INDICO, go to your personal abstract page (following the link you received with the acceptance e-mail), then click "Go to Contribution" and add the presentation file in the "Presentation materials" section (using the small pencil button on the right).

Presentation files should be named as "Topic#_Contr#_Surname.pptx" (e.g., Topic2_Contr312_Rossi.pptx).

When uploading your presentation, you can choose to keep it public (anyone can download it) or restrict its visibility by activating the "Protected" button. Please note that webpage administrators can always access and download your presentation for technical purposes.

 

Speakers will be given the opportunity to check and rehearse their presentations during one of the coffee breaks prior to the presentation day. The LOC is not responsible for any technical issue if the presentation has not been checked in advance by the speaker.


Poster presentations 

All participants whose submissions were accepted as poster contribution will be given the possibility of presenting their poster in one of two poster sessions organised during the conference. 

Posters must not exceed 59 cm in width and 84 cm in height (A1 size) and must be prepared strictly in portrait (vertical) format.

Posters prepared in landscape (horizontal) format cannot be displayed on the poster panels and therefore they will not be accepted.

 

Presenters are kindly requested not to exceed the above maximum lengths because the space available on the poster panels is fixed, and larger posters would cause inconvenience to other presenters.

The posters will be divided into two sessions that will take place during the coffee breaks: session 1 will cover topics 1, 2, and 3, while session 2 will cover topics 4, 5, and 6. Session 1 will take place during the 4 coffee breaks on Monday 9th and Tuesday 10th September, while session 2 will take place during the 4 coffee breaks on Wednesday 11th morning, Thursday 12th morning and afternoon, and Friday 13th morning.

The position of the posters is indicated in the Poster Session Programmes (the PDF version of the programmes can be downloaded from the Overview section), where each poster is identified by the contribution number as registered on the INDICO server. The position will be also indicated on the poster panels. 

Presenters are also strongly encouraged to upload their posters to INDICO before the meeting, to allow viewing by remote participants.
