Privacy policy

Data that we collect. If you choose to register for the ESPM-17 by using this website, we require that you provide certain personal information, such as your full name, e-mail address, your work affiliation/institute, and your home country. We also collect full names of persons who will accompany you in social events. If you choose to submit an abstract, full names of the abstract co-authors may be provided as well.

How we use your personal data. We will use the personal data you submit on this website to register you for, and to communicate with you about, the ESPM-17 meeting and its scientific and social activities, and for organisation purposes.

With whom your personal data are shared. Your name, affiliation/institute, and country will appear in the "Participant list" section of this website. We will not share your e-mail address with anyone, including any other company or third party. If your submitted abstract will be selected for an oral presentation, information you provided in the submission form will appear in the "Program" section.

Security of your personal data. Your personal data will be temporarily stored on INDICO servers. They will be permanently deleted after the end of the ESPM-17 meeting. They use reasonable precautions to protect your personal data and to store them securely. In addition, access to your personal data is reasonably restricted to prevent unauthorized use.

Tracking and cookies. This website does not use cookies and it will not track your visit. However, this website contains links to other sites that may use cookie technology. We do not have access to, or control over, these cookies.

Access to your personal data. If you want to access, update, or delete your personal data, or if you have any questions regarding the privacy policy, please contact us at espm17.loc.oato@inaf.it.

Terms and conditions

General

  1. Registration must be accompanied by payment. Otherwise, no access (on-site or virtual) to the conference is granted.
  2. Early registration must be accompanied by payment. Otherwise, it will not be processed and the standard registration rates will be applied.
  3. Registrations are personal and non-transferable. Access (on-site or virtual) to the conference will be granted only to the person who has made the payment.
  4. Due to data protection regulations, collective registrations for members of an institution are not possible.
  5. Registration for the conference implies the acceptance of the ESP Code of Conduct.
  6. Changes to registration invoices are only possible with regard to the invoice address or order references. Any such claims must be received by ESPM-17 LOC no later than six weeks after the last day of the conference. Later requests will not be considered.
  7. Changes to the registration fee selected at the time of registration and in turn to the related invoice are only possible for unpaid invoices. In this case, the participant is asked to cancel the registration order and place a new one through the registration form, selecting the correct registration fee. Please note that in these cases the early registration deadline still applies.

Pandemics, hazards, and force majeure

  1. Any person attending the conference on site is required to follow any official regulations regarding health and hygiene that may be issued or still applicable during the conference runtime. Such regulations are considered official and mandatory if publicly announced by the European Union/Commission, the National Government of Italy, the City of Turin, or the “Unione Industriali Torino” as the hosting venue.
  2. The obligation to follow official health and hygiene regulations is not only applied to COVID-19, but to any other pandemic or epidemic that might occur in the future.
  3. Hazards that make it impossible to hold the ESPM-17 at the “Unione Industriali Torino” give ESPM-17 LOC the right to cancel the event and therefore suspend registrations of on-site participants. In such cases, if the virtual equivalent of the meeting will take place, participants who already registered and paid for on-site attendance will be refunded the difference between paid fees and the remote-attendance fee, otherwise the full registration fee will be reimbursed. ESPM-17 LOC, however, will not be liable for other costs the attendees might have had (e.g., travel, accommodation).

Cancellation policy

  1. Registration fees will be refunded only if the notice of cancellation is received by ESPM-17 LOC by 5th August 2024. A cancellation fee of 50 EUR applies.
  2. Cancellations after 5th August 2024 or no-shows are not eligible for a refund.
  3. A change of attendance (on-site vs. virtual) is possible until 5th August 2024. A processing fee of 50 EUR applies in this case. Changes after 5th August 2024 are not possible.
  4. There is no reason (including but not limited to illness) for registration cancellation that makes the above-mentioned deadline for cancellations inapplicable.

Insurance

The organizers cannot accept liability for personal accident, loss, or damage to private property, which may be incurred as a result of the participation in the ESPM-17. Participants are therefore advised to arrange appropriate insurance coverage. This should apply not only to travel but also to cancellation costs.

Disclaimer

By registering, participants acknowledge and consent that during their attendance at ESPM-17 their contributions to online sessions may be recorded by an official of the conference. This content may be distributed or published at the discretion of the ESPM-17 LOC. If you do not wish to be recorded, you are required to formally advise the LOC in advance.
