This Privacy Policy explains how personal data is collected, used, and protected for the InfraRed detectors In Space (IRIS) workshop, in compliance with the EU GDPR.

Personal Data Collected

We collect identifying and contact information during registration (name, email, affiliation, and any optional details you provide). Additional data may arise during the workshop, such as attendance records, contributed scientific materials, and (with prior notice and consent) photographs or recordings.

Purpose and Use
Personal data is used solely for organising and running the IRIS workshop, including registration management, event communication, logistics, and sharing workshop materials. Data is never sold, shared, or disclosed to unrelated third parties. No external service providers are used.
Processing is based on managing your participation, the legitimate interest of ensuring proper event organisation, and your explicit consent for optional or sensitive information (e.g., dietary needs, accessibility requests, photos/recordings).
Access is limited to personnel directly involved in organising the IRIS workshop and only as needed for their duties.
Participants’ Rights

You may request access, correction, deletion, restriction, or objection to the processing of your data, and you may withdraw consent at any time. Requests can be submitted to the Data Controller and will be processed in accordance with applicable legal requirements.

Clarification on disclosure restrictions

The workshop organizers assume no responsibility for materials subject to non-disclosure agreements or export-control restrictions (including ITAR) that may be included in the presentations.

All presentations uploaded by the speakers to the INDICO webpage will remain private and password-protected by default. Public access to the material will be granted only after the speaker has removed any sensitive or restricted content and has explicitly authorized its release.

This framework preserves the speakers’ autonomy and responsibility over their material, while ensuring that the dissemination of content is appropriately controlled by the workshop organization.
